Operations Coordinator

This person will also be responsible for supervising the program/project workflow as well as acting as a liaison with clients/customers/contractors for support (Software & Data), sales estimates, training, and other general queries. Operations Coordinator

The individual in this role needs to be an engaged leader that is willing to closely manage individuals within operations, and client/customers/contractors. This individual will closely monitor logistics and data in defining requirements/solutions for the operation and ensuring that performance commitments are met. This person will also be responsible for supervising the program/project workflow as well as acting as a liaison with clients/customers/contractors for support (Software & Data), sales estimates, training, and other general queries.

Key Responsibilities

  • Workflow Management: Monitoring daily activities, identifying inefficiencies, and implementing improvements to streamline processes.
  • Scheduling & Logistics: Coordinating staff schedules, managing project timelines, and overseeing client/customers/contractor relationships.
  • Administrative Support: Maintaining records, preparing operational reports, handling sales estimates, and assisting with invoices.
  • Program/Project Oversight: Tracking projects & SaaS accounts from program implementation to completion to ensure connectivity to manage the process.
  • Facilitating cross-channel feedback from clients/customers/contractors and employees to management and executive teams.
  • Working with team leaders, managers and department heads to learn departmental needs and goals.
  • Ensuring that all activities conform to local, federal, contracts, industry and company standards.
  • Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made.
  • Identifying and resolving any problems in the workflow process.
  • Design and maintaining clear operational guides to ensure consistency of operations.
  • Delivering reports to department heads, management teams and boards of directors to provide insight into the overall efficiency of the organization.
  • Collaborating with management and executives to set departmental and organization-wide goals.
  • Build and maintain strong client/customer/contractor relationships through regular communications.
  • A solid understanding of management related best practices.
  • Provide comprehensive communication and support in all aspects of business.
  • Be directly involved with and promote inter-area collaboration of the planning, implementation and workflow of programs/projects that meet and exceed 4BT requirements.
  • Willing to be flexible with schedule and put in the necessary time to ensure superior client/customer/contractor support.
  • Other duties as assigned.
  • Able to work independently and in a self-directed manner.

Skills and Qualifications

  • Education: High school diploma or equivalent. A bachelor’s degree in business administration, Operations Management, or a related field experience.
  • Knowledge Base: Must have working knowledge of construction line item estimating & construction cost data, Job Order Contracting (JOC), Multiple Award Task Order Contracts (MATOC), Simplified Acquisition of Base Engineer (SABER), and other construction delivery methods.
  • Core Skills: High proficiency in organization, problem-solving, and multitasking is essential. Working with local, state, federal government agencies, schools, colleges, & universities.
  • Technical Proficiency: Familiarity with construction estimating software & Software as a Service (SaaS), QuickBooks estimate module.  Advanced knowledge of Microsoft Office 365 (Especially Excel, Word, Power Point, & Outlook a must).
  • Interpersonal Skills: Strong verbal and written communication skills are necessary for collaborating across multi-disciplinary teams.
  • 3-5 years management experience preferred.
  • Ability to handle multiple programs/projects simultaneously.
  • 3-5 years operations and logistics experience preferred.
  • Energetic and positive leader.
  • Top notch multitasker, outstanding communicator, TEAM player.

Salary and Career Outlook

  • Salary: $65,000 to $75,000 per year based upon experience.
  • Work from home.
  • 401(k).
  • Vacation: 40 hours for years 1 – 3, 80 hours for years 4 – 6, & 120 hours at 7 years and more.
  • Holidays: 15 days per year.
  • Sick Days: 3 days per year.
  • Career Path: Include advancing to Operations Manager, Director of Operations.
